Join our friendly team of rural experts as Business Support Administrator based in our Edinburgh office. You will provide administrative and operational support to client facing departments (primarily Utilities, Energy and Infrastructure (UEI), ensuring efficient file management, process improvement and compliance. Coordinating with other departments and supporting the UEI team in their day-to-day work to ensure best practice and to aid and improve operational performance.
Key Responsibilities:
- Ensure compliance with file management obligations, including:
- Set up and maintain files in line with operational procedures, mainly using SharePoint. ·
- Onboarding clients and creating new jobs
- Maintain documentation templates
- Undertake file reviews to check compliance with money laundering regulations and regulatory standards
- Review and manage archives.
- Complete due diligence checks, complying with Money Laundering Regulations, specifically for the UEI team.
- Support department administration including raising fees, updating work in progress and supporting credit control.
- Drive/lead processes improvement adoption across teams/department.
- Monitor KPI compliance, analyse data, prepare reports, identify noncompliance issues and support implementation of any remedial programmes.
- Coordinate general administrative duties to ensure smooth running of the department/office:
- Produce detailed and accurate client documentation.
- Organise meetings, greet visitors to the office, attend meetings and take minutes.
- Answer phone calls in a professional manner, responding to queries and following up on actions.
- Filing, scanning, printing and binding of documents/reports.
- Raising invoices, submitting timesheets and expenses, and supporting credit control activities.
- Play an active role in projects (and the management of these) and support tender submission process.
- Prepare and collate reports and presentations.
- Use systems to efficiently undertake tasks including tender portals.
- Support continuous improvement activity to develop department systems and processes.
- Contribute to department marketing and business development initiatives.
- Support the delivery and adherence to department H&S compliance.
- Contribute to the preparation and delivery of internal training including induction training.
- Provide support for colleagues/other departments when required.
- Comply with requirements set out by RICS, GDPR and all company policies and procedures including those set out in the company’s Quality Management System and documented in the Quality Manual.
- ·Attend internal and external training as required, maintaining a CPD log
What you will need to succeed
- Ability to work closely with colleagues, clients and third parties.
- Experience of working within a professional services business.
- Enthusiasm to do a high-quality job at all times, working efficiently and effectively.
- Ability to work well under pressure and prioritise workload.
- Intermediate/advanced skills in Microsoft office including Word, PowerPoint and Excel.
- Excellent verbal and written communication skills with ability to adapt style as required.
- Strong service orientation – a ‘client first’ culture.
- Flexibility to work outside of normal office hours from time to time.
- Self-starter, proactive, and self-motivated.
- Good organisational skills with excellent attention to detail.
