Property and Lettings Manager

Role Description

  • Responsible for lease renewals, rent reviews, and property inspections.
  • Manage a portfolio of land and property holdings and maintain general tenant management functions including lettings; assignments; sub-lettings; changes of use; alteration of property; short-term let licences; schedules of conditions/dilapidations; monitoring and reporting of property defects.
  • Act as a first point of contact to tenants for queries, taking action or referring to Surveyor as necessary.
  • Instruct contractors for repairs and coordinate quotes. Meet contractors on site prior to and post completion of works.
  • Assist with the preparation and updating of periodic repair schedules.
  • Assist with the preparation of tenancy agreements and licences, ensuring these are signed and recorded.
  • Liaison with incoming and outgoing tenants, including prospective tenants.
  • Manage set up and handover of properties, including tenant referencing, advertising, arranging and attending viewings, deposit registration and liaison with third parties.
  • Ensure lettings compliance via organisation of energy performance certificates, electrical condition reports, boiler services, inventories and schedules of condition.
  • Support smooth operation of the department by drafting fees, scheduling appointments, and managing the Landmark system.
  • Liaise with the client finance team to ensure proper invoicing and credit control.
  • Travel to estates across Scotland and Northern England in the provision of these responsibilities.
  • Assist with the management of contractors.
  • Prepare reports, presentations and spreadsheets as required.
  • Maintain files ensuring department compliance with RICS, money laundering regulations, QMS and company processes and procedures.
  • Maintain a high level of confidentiality and professionalism when dealing with clients and colleagues.

 

Experience and skills

Essential

  • Demonstrable level of residential and commercial lettings experience within a professional services environment.
  • IT skills including MS Office, Word, Excel, Teams and Sharepoint.
  • Excellent organisational and prioritising ability.
  • Excellent communication skills, both verbal and written.
  • Positive, proactive and flexible approach with ability to work to deadlines, in a team and as an individual.
  • Excellent attention to detail.
  • Client focused – internal and external customers.
  • Full clean driving licence and access to own vehicle – Travel to estates across Scotland and Northern England required.

 

Desirable

  • Qualified Letting Agent.
  • Knowledge of GreenTree and Landmark software.
  • Experience in creating and managing repair budgets.
